Property Administrator

Property Administrator 40 to 50K

We are currently looking for a Property Administrator for our client.  The ideal candidate will be happy to work in a small office where she/he can wear a lot of hats.  This role is ideally suited to someone who loves to multitask and is open to learning new tasks.  If you are a detail oriented individual who enjoys the property and real estate world this may be the role you’ ve been looking for.

  • Document the leasing activities and the movements of  Tenants / units / expiry / new proposals in Excel. Yardi experience is an asset.
  • Coordinate with Tenants for Rental Payments / Chargebacks / Any incidents. Inform Operations team of any matters that need to be brought to their attention. 
  • Preparation of letters for upcoming rent and tenant TMI letters with input from legal/accounting
  • Office management and filing of AP invoices. Ensure that all AP invoices are reviewed by Accountant and final approval from Management before making any payments. Follow up on AP statements and follow up with suppliers.
  • Code invoices and basic review of the invoices before inputting to the system. Update spreadsheet with same.
  • Follow up on invoices on a regular basis and any adhoc changes to notify Operations and if necessary, call utility providers.
  • Bank reconciliations maintained on a regular monthly basis.
  • Follow up on other matters such as Insurance policies / mortgage payments recorded / AR reconciliations and review and other adhoc follow up as required by external accountants and management. 
  • Assist legal in leasing matters.
  • Assist with design/layout of marketing materials for condo project & properties for lease
  • Assist principal with matters as required - writing letters, scanning documents, etc.


Skills Required
  • Intermediate MS Office skills
  • Strong communication skills, both written and verbal
  • Experience with basic accounting including A/P and A/R
  • Strong organizational skills and an ability to multitask
  • Strong attention to detail
  • Strong problem solving skills
