Our client, a boutique executive search firm is searching for an experienced Executive Assistant to support the founder of this busy firm located downtown in beautiful offices. 

The primary responsibilities will include a combination of project management and executive secretarial support: You will coordinate  meetings with  candidates and all other relevant parties, including travel arrangements  and at times hotel accommodations for the Managing Partner as well as the candidates. Create, edit and proofread  client project deliverables  including proposals, pitch decks, engagement letters, etc. (Word and PowerPoint). Host C-Suite decision maker meetings at the office, ensure candidate and client database is kept up  to date, manage client billing and receivables,.answer calls on behalf of the Partner, contact candidates to coordinate interview availability and be ready to jump in at any given time to postpone or reschedule pertinent meetings for all parties. Finally, you will oversee any office administrative  tasks that are needed. If you consider yourself a self starter and enjoy  assuming  responsibility for decisions, consequences and results that have an impact on people, costs and/or quality of service then you may really excel in this role!


A stable work history of 7 – 10 years with increasing levels of executive secretarial experience is a MUST; ideally this experience would be gained principally in a professional services environment

An undergraduate university or college degree is preferred 

Expert knowledge of Microsoft Office Suite is essential, including a very strong proficiency in PowerPoint

Experience working with a database application is helpful; proficiency in working with spreadsheets, organization charts and graphics programs is an added plus

Exposure to international businesses, particularly in the natural resources, will be viewed positively as will global experience generally

Candidates without C-level experience or tenure with organisations will not be considered for this role.
